Implementation in your business
On your support inbox: it reads unread emails your Gmail filter labels as support, answers from your knowledge-base sheet and leaves replies as drafts in the thread.
Where it plugs in
Inbox triage (category, urgency, sentiment) and knowledge-base-grounded reply drafts, with safe escalation.
What it needs
- n8n (Cloud or self-hosted)
- Google account: Gmail + Sheets
- OpenAI API key
- A knowledge base: one row per question and answer
What it outputs
- Reply drafts in the original thread
- Escalations with a reason
- Tickets Log: category, urgency, sentiment, summary
Time saved (estimate)
≈ 52 h
per month at 200 tickets a week, 8 min by hand vs 2 min review. See assumptions.
Setup: about 15 minutes on n8n Cloud
Three steps, no code. The setup guide has the full checklist.
Pick the AI Customer Support Agent
Start the trial on Starter (this employee) or Workforce (all five). The download link and guide arrive by email.
Import it
n8n Cloud or self-hosted: Workflows → Import from file. No n8n? Paste the instructions into a Custom GPT or Claude Project.
- 1 workflow file
- Sheet templates (CSV)
Connect your tools
Sign in once per service, then fill in the Config node with your details.
- Google Sheets
- OpenAI
- Gmail
- Config: your details and rules
How it works
Import-tested and test-executed with stubbed services on n8n 2.44 before release.
Answers only from your knowledge base. If the answer isn't in the KB the agent says so (can_answer = false) and escalates instead of guessing.
Escalation rules in code. Refund requests, complaints, legal threats, high urgency and low confidence go to a human by default. You choose the categories and the confidence threshold.
A ticket log for free. Every email lands in the Tickets Log with category, urgency, sentiment and summary, so you can see what customers ask about most.
What you get
- ai-customer-support-agent.n8n.json: Support emails labelled `plugstaff-support` in Gmail → load Knowledge Base tab → classify + draft from KB → safe? → Gmail draft in thread, else escalate → Tickets Log → label processed.
- No-code version: Custom GPT / Claude Project instructions
- Prompt library, sheet templates and a PDF setup guide
What it's worth to you
The value is time: the employee does the first pass and you keep the review. Two worked examples, every input an assumption:
| Assumption (estimate) | Small inbox | Busy inbox |
|---|---|---|
| Support emails per week | 50 | 200 |
| Manual minutes per ticket | 6 | 8 |
| Review minutes (you still review) | 2 | 2 |
| Share the employee handles | 50% | 60% |
| Hourly cost of whoever does it | $25 | $30 |
| AI running cost per ticket | $0.02 | $0.02 |
| Hours taken over per week | 1.7 h | 12.0 h |
| Value of that time per month, after AI costs | ≈ $178 | ≈ $1,550 |
| After the $19 Starter plan | ≈ $159 | ≈ $1,531 |

More assumptions
Formula: hours/week = volume × share handled × (manual − review minutes) ÷ 60 · hours/month = hours/week × 52 ÷ 12 · net = hours/month × hourly cost − AI running costs − plan cost. Time saved only; no claims about revenue, replies or hiring outcomes.
Questions
Does it work with Zendesk, Freshdesk, Help Scout?
v1 ships for Gmail/Google Workspace inboxes. Swap the Gmail nodes for the helpdesk's n8n node (Zendesk and Freshdesk have native nodes); the prompt and logic stay the same. Email support if you want pointers.
Can it send automatically?
Technically yes (swap the draft node for a send/reply node), but we recommend drafts until your KB is mature.
What's a good knowledge base?
Start with your 20 most common questions and your policies (shipping, refunds, billing). One row per answer.
Do I need n8n?
For the automated version, yes: n8n Cloud or the free self-hosted edition. Every employee also ships a no-code version for a ChatGPT Custom GPT or a Claude Project.
Does it act on its own?
It works in drafts and logs. Anything that reaches a customer, candidate or prospect is a draft you review and send.
What does it cost?
Starter is $19/month for this employee, Workforce $49/month for all five. Both have a 7-day free trial. You also pay your own AI usage (usually cents per item) and your n8n plan if you use n8n Cloud.
Guardrails
- Drafts only: a human sends every reply. Keep it that way until you trust the answers on your own data.
- Customer emails are sent to your LLM provider. Mention AI-assisted processing in your privacy policy, and don't put secrets in the KB.
- If you serve EU users and later let it send automatically, tell customers they're talking to an AI (EU AI Act transparency duties for AI that interacts with people). Not legal advice.
